Knowing how to prepare for a recruiter call is one of the simplest things you can do to move your job search forward. The call itself usually runs 15 to 30 minutes. What you do before it determines how useful those 30 minutes actually are.

A recruiter call, also called a staffing agency intake call or discovery call, is a short introductory conversation where a recruiter learns about your background, what you’re looking for, and whether there’s a fit with the roles they’re actively filling. You’re evaluating them at the same time.

Getting ready takes less than 30 minutes. Here’s exactly what to do.

Before the Call: What to Have Ready

Pull these together before you pick up the phone.

Your resume, or a basic work history. If you have a resume, have it open in front of you. If you don’t have one yet, jot down your last two or three jobs: the company name, your title, and the dates you worked there. Not sure how to put a resume together? Our free resume builder walks you through it section by section, no prior experience required.

A clear idea of what you’re looking for. Your recruiter will ask about your ideal role, schedule, work environment, and pay expectations. The more specific you are, the faster they can find the right match. Think through:

  • Type of work you’re open to: full-time, part-time, temporary, temp-to-hire, or direct hire
  • Industries or company types you prefer, or want to avoid
  • Any hard requirements: remote vs. in-office, commute limits, schedule constraints
  • Your pay expectations, including a realistic range

Your contact info and availability. Confirm your phone number, email address, and when you’d be available to start.

A quiet place to talk. This sounds obvious, but it matters. Background noise affects how clearly you come across, and a strong first impression starts before you say a single word about your experience.

What to Expect During the Call

Here are the most useful recruiter call tips to keep in mind, along with what to expect from a staffing agency on that first call with your recruiter:

  • “Walk me through your background.” This is your chance to give a quick overview of your work history, not your entire life story. Cover your most recent role, what you did there, and what you’re looking for next. Two to three minutes is plenty.
  • “What type of opportunities are you open to?” Be honest. If you need full-time work right away, say so. If you’re open to contract work while searching for something permanent, that’s useful to know. Recruiters can only match you well if they have accurate information.
  • “What’s your target pay?” Don’t skip this or give a vague answer. A range is fine. A good recruiter will tell you whether your expectations are in line with what Dallas-Fort Worth employers are currently paying.
  • Specifics about your skills and experience. For accounting, finance, and administrative roles, expect questions about the software you use (QuickBooks, Excel, NetSuite, SAP), certifications you hold (CPA, CMA, CPP), and the types of tasks you’ve handled: accounts payable, month-end close, executive calendar management, and so on.

Questions to Ask Your Recruiter

Working with a recruiter in Dallas goes both directions. Your first call with a recruiter is also your opportunity to learn about them. Come prepared with a few of your own questions:

  • What types of roles do you typically fill in my area?
  • What does the process look like from here?
  • How long does it usually take to get placed?
  • Is there anything I can do to strengthen my candidacy?

Asking questions signals that you’re engaged and serious. It also gives you the information you need to decide whether this recruiter and firm are the right fit for your search.

After the Call, What to Do Next

Send a quick follow-up email within 24 hours. Two or three sentences is enough. Confirm your interest and any details you discussed. It keeps you top of mind and shows follow-through, which matters more than most candidates realize.
If the recruiter asks you to send your resume or complete any paperwork, do it the same day. Speed signals reliability, and recruiters notice candidates who are easy to work with.

If you haven’t heard anything within a week, following up is completely appropriate. A short, professional check-in is all it takes.

Does Working with a Recruiter Cost You Anything?

No. Working with a staffing agency costs job seekers nothing. Staffing agencies are paid by the employers they place candidates with, not by the candidates themselves. So there’s no reason to hold back information or approach the call like a negotiation. The more your recruiter knows about what you actually need, the better they can advocate for you.
